How many folding chairs do you need

For a seated dinner or reception, order one chair per guest. For a standing ceremony that transitions to a seated dinner, order enough for the largest seated moment — you don't need separate chairs for each stage. For outdoor events where guests are likely to move between seated and standing areas, add 10% to your seated count as a buffer.

That buffer helps most at informal events where guest behaviour is less predictable. At a wedding breakfast or a fixed conference layout, the numbers usually stay clean. At a garden party, school fete or community event, people drift between areas and extra seats can stop one section feeling short while another sits half empty.

The largest seated moment is the figure that matters. If the event includes several phases, do not count each phase separately.
