Gala Dinner Hire - Tables, Chairs & Tableware | Expo Hire

Your Guide to Gala Dinner Furniture and Tableware Hire

Expo Hire supplies furniture and tableware for gala dinners across England and Wales. Charities, corporates and venue teams use us to dress large rooms for formal sit-down meals without buying stock they will use once or twice a year. We deliver clean, commercial-grade equipment on your chosen date and collect after the event.

Why hire from Expo Hire

  • Expo Hire delivers and collects on Sundays across England and Wales. Most competitors stop at Saturday. We cover every day of the week.
  • Live order tracking on every delivery and collection. Track delivery and collection by order number and postcode.
  • Every order 100% guaranteed before you pay. We check live stock and logistics at the point of booking. No substitutions, no shortfalls, no calls the week before.
  • Choose morning or afternoon for delivery and collection. No other hire company gives you this choice. Your venue, your schedule.
  • No security deposit. No damage deposit. Ever. Expo Hire never holds your money.
  • Free Minor Damage Waiver on every order. Accidental scratches and minor wear covered at no charge. Other companies charge 2–3% of your order total for the same cover.
  • The widest product range in the event hire industry. Chairs, tables, catering, glassware, linen, heating, gazebos, staging, and more from a single supplier.
  • Live chat support is available seven days a week, 8am to 8pm. Every competitor closes at 5pm on weekdays. Get answers when you are planning, not just during office hours.

Furniture for the room

Most gala dinners seat guests at round banqueting tables with Chiavari chairs or banqueting chairs. Chiavari chairs suit formal black-tie evenings. Banqueting chairs handle bigger guest counts and faster turnarounds. For top tables, a cloth-draped trestle gives presenters a raised position with good sight lines across the room. Our table hire range covers round tables, trestle tables and poseur tables for drinks receptions beforehand.

Tableware and linen

A full table setting for a gala dinner typically includes crockery, cutlery, glassware and linen. Our crockery and cutlery ranges cover the place setting from starter to dessert. Glassware for wine, water and toasts can be added to the same order. Linen keeps the tables consistent. Add Send It Back Dirty at checkout to return tableware unwashed after service.

Staging and presentations

Many gala dinners include speeches, awards presentations or live entertainment. Our portable stage hire gives speakers and performers a raised platform with clear sight lines across the room. Lecterns, iPad stands and presentation screens are available for awards announcements and speeches.

Every order includes a Free Minor Damage Waiver at no extra charge. Other hire companies charge 2–3% of your order total for the same cover — on a typical £1,000 booking, that is up to £30 extra you keep in your pocket.

Six things no other hire company in the UK offers. We deliver and collect seven days a week — no other hire company does. We are the only hire company to offer live order tracking for both delivery and collection; track your driver in real time by order number and postcode. We check live stock and logistics availability before your order is confirmed, so every order is 100% guaranteed to arrive exactly as placed — no substitutions, no shortfalls. You choose morning or afternoon for both delivery and collection. We never charge a security or damage deposit. Every hire includes a Free Minor Damage Waiver at no extra charge — other companies charge 2–3% of your order total for the same cover. And with the widest product range in the event hire industry, most customers can source their entire event from a single supplier.

Common questions

How far in advance should I book gala dinner equipment?
For autumn and December dates, book as early as you can. Chiavari chairs and linen sell out for peak charity gala season. For spring and summer events, four to six weeks is usually enough.
How many chairs and tables do I need?
Round tables seat 8-10 guests each. Divide your guest count by 9 for a working table number, then add one for the top table. Order one chair per guest plus 5-10% for staff and late additions.
Do you take a deposit?
No deposit and low minimum order levels apply. Orders over £1,000 can be confirmed with a 25% payment at booking, with the balance due 28 days before delivery.
Can I hire chairs, tableware and staging in one order?
Yes. One order covers the full room. We deliver everything together and collect in one visit.
Do I need to wash crockery and glassware before return?
Not if you add Send It Back Dirty at checkout. Scrape plates, pour away liquid, repack the crates, and we handle the washing.
