Expo Hire takes orders at short notice subject to what is in stock on your date. This page covers what to expect when you are booking within a short window.

Minimum notice

Orders with less than 48 hours until delivery are the hardest to fulfil. If you are within 48 hours of your event, call the team directly rather than ordering online. An online order at that stage may not be processed in time.

Anything within five working days of the event date counts as short notice. Weekday events are generally easier to fulfil at short notice than weekend events. Equipment returned from a previous order is more likely to be cleaned and repacked in time for a Monday or Tuesday delivery. Weekend demand is higher, so availability on Saturdays and Sundays is tighter.

Items most likely available at short notice

Chairs, basic glassware and folding tables turn over fastest and are most likely to be available on short notice. Crockery and cutlery in standard sizes are also replenished regularly. Specialist items, premium linen and outdoor furniture are harder to guarantee at short notice.

Checking availability

Use the live stock checker first. Enter your event date and browse the items you need; availability updates in real time as orders are placed and returned. If items show as available, you can place the order immediately.

If preferred items are showing as out of stock, check for alternatives: a different chair style or a similar glass format. For crockery, cutlery and glassware, partial availability is common. The full quantity you need may not be available, but a smaller quantity might work if your numbers have flexibility.

If preferred items are unavailable

If key items are unavailable and you cannot find alternatives, contact the team directly rather than giving up. Stock availability updates as orders are returned and processed; items unavailable today may be available tomorrow. The team can advise whether availability is likely to change before your event date.

For large orders at short notice, the team may be able to split supply across depots where logistics allow. This cannot be guaranteed for very short lead times.

Peak periods

Short-notice availability drops significantly during peak periods: June through August for outdoor and summer events, October through December for gala dinners and award ceremonies, and May to July for school proms. During these windows, the only reliable way to secure equipment is to book ahead.

Placing a short-notice order

If stock is confirmed on the live checker, place your order online in the normal way. For orders within 48 hours, or if you have any doubt about whether the order can be processed in time, call the team before you pay.
