Coverage area

\n

We operate from a network of regional depots, currently covering the whole of the country. Delivery charges are calculated based on the distance between the depot handling your order and your event venue. The charge is shown at checkout before you confirm your order.

\n\n

If you are unsure whether your venue falls within our delivery area, enter your postcode during the order process on the Expo Hire website. The site confirms coverage and calculates your delivery charge based on your specific location.

How delivery works

\n

Equipment is delivered to your venue on an agreed date before your event. You can specify a preferred delivery date and time window when you check out. The team confirms the final delivery slot and you will receive advance notice of the arrival window.

\n\n

Equipment is collected on an agreed date after your event, usually the next working day unless you specify otherwise. If your venue has specific access restrictions, loading bay requirements or delivery time constraints, note these when placing your order so the team can plan accordingly.

\n\n

Minimum delivery charges

\n

A minimum delivery charge applies to all orders. This charge varies by distance from the nearest depot handling your order. For very short distances the minimum is a flat fee; for longer distances it scales with mileage. The full charge is calculated automatically during the order process and shown before you commit to a booking.

\n\n

Combining multiple event items into a single order is the most cost-effective approach, as the delivery charge applies to the order as a whole rather than per item. If you are running an event that needs furniture, linen, glassware and catering equipment, ordering all of it together in a single transaction is more economical than placing separate orders.

Depot locations

\n

Expo Hire operates from a network of regional depots across England. See the depot map for current locations and the areas each depot serves. The depot nearest to your venue handles your order, which determines your delivery charge and the available delivery time slots.

\n\n

Large sites and multiple delivery points

\n

Events on large sites, such as outdoor festivals, racecourses or multi-building venues, sometimes need equipment delivered to more than one location on the same site. Discuss this with the team when you place your order rather than afterwards. Split deliveries to multiple points on a single site may affect the delivery charge calculation and the scheduling of the driver's route.

Getting a delivery quote

\n

The fastest way to get an accurate delivery quote for your venue is to start an order on the Expo Hire website, add the items you need, and proceed to checkout. The delivery charge for your postcode is calculated and displayed before any payment is taken. You can abandon the order at that point if the charge is not what you expected, without any cost or commitment.

For venues at the edges of our coverage area, or for events requiring multiple delivery points, contact the team directly to discuss what is possible before placing your order.
