Depot boundaries are guides rather than hard limits. A venue near a regional edge routes through whichever depot gives the shortest road distance, which may not always be the geographically closest depot name.
Carriage starts from £40 ex-VAT and increases with road distance from the nearest depot to your venue. Order volume also affects carriage — a larger order may need a larger vehicle, which affects the route cost calculation.
The carriage cost is calculated and shown at checkout after you enter your venue postcode and dates. No surcharges, fuel levies or handling fees are added after the checkout total is displayed. The figure shown before you confirm is the figure on your invoice.
For orders above a threshold shown on individual product pages, carriage is waived. This threshold varies by product category and is applied automatically at checkout when the qualifying quantity is in the basket.
Deliveries and collections run 7 days a week, including Sundays and Bank Holidays — the only event hire company in the UK that offers this. At checkout, you choose morning or afternoon for both delivery and collection independently.

A live GPS tracking link and SMS ETA arrive on the morning of delivery and collection. The link updates continuously as the driver progresses along the route. Drivers do not call ahead — the tracking link is the arrival notification.
Standard deliveries are made by a single driver. The driver has 15 minutes to complete the drop from the point of parking the vehicle. Items must be accessible within 50 metres of the parked vehicle. Drivers cannot carry items up stairs or into lifts on a standard delivery — if this is required, select the two-person carriage option at checkout.
Delays beyond the standard 15-minute window caused by access issues, items not being ready, or a signed representative not being present are charged at £120 per hour or part thereof. If the driver arrives and delivery is impossible — venue locked, access denied, no representative present — a wasted journey charge applies.
Any parking tickets incurred by Expo Hire vehicles during a delivery or collection are charged to the account while the ticket is appealed.
For venues where items need to be carried more than 50 metres from the vehicle, up stairs, or into lifts, select the two-person carriage option at checkout. This sends two crew members and allows for carry-in service to a specified room or floor. A single driver completing a standard delivery cannot carry items into a building.
If two-person carriage was not selected at checkout and the venue requires carry-in, contact Expo Hire before delivery day — a last-minute upgrade may be possible subject to crew availability, but it is better arranged in advance.
Expo Hire delivers to England and Wales only. The network does not currently extend to Scotland, Northern Ireland, Jersey, Guernsey or the Channel Islands.

Standard orders are for a single delivery address. For events requiring delivery to multiple venues or addresses — roadshows, multi-venue conferences, split festival sites — contact the team before placing the order. Multi-site logistics require planning beyond a standard basket build.

Yes. Expo Hire delivers to all venue types — hotels, conference centres, sporting venues, marquees, outdoor sites, schools, offices and private addresses. Venues with loading bays, restricted access or timed delivery windows should brief the site contact to monitor the tracking link so the driver can access the venue without delay.
