Start Planning Your Event Today

Event organisers often work to tight deadlines, coordinating multiple suppliers for a single event. Securing equipment hire must be straightforward. This guide explains equipment ordering from Expo Hire. It details each step from initial selection to final collection.

Equipment Selection and Reservation

Begin by exploring the Expo Hire online catalogue. Each product page shows detailed specifications, pricing, and live stock levels. Select an item you need. Input your desired delivery and collection dates. The system confirms availability. You can only add items to your basket if they are available for your chosen dates.

The standard hire duration is three days. This period does not include the delivery and collection days. For example, a Friday delivery and Monday collection counts as one hire period. If your hire extends beyond three days, the system calculates extended hire charges. All orders require a minimum value of £50 excluding VAT.

Order Completion and Delivery

Proceed to checkout once your basket contains all required items. You can checkout as a guest or create an Expo Hire trade account. Account holders can save details, track orders, and access past invoices. Payment options include secure online debit or credit card payment. You can also pay by bank transfer. Trade account holders receive 30-day payment terms from the invoice date, after successful credit checks and approval.

You can receive equipment deliveries throughout England and Wales. Our delivery and collection service operates on specific days for each postcode area. Enter your full delivery postcode at checkout to view available dates and exact delivery charges. Book delivery well in advance for large events or during peak season. On delivery day, ensure the location is clear, accessible, and someone is present to receive the equipment. Drivers place items at ground level for you.

Prepare all hired equipment for collection on the agreed date. Pack items as they arrived and leave them at ground level, ready for our team. Failure to prepare items may incur additional charges.

Damage Waiver and Support

You pay a mandatory 10% damage waiver on all orders. The waiver covers accidental damage to equipment during your hire period. It protects you from unexpected repair or replacement costs for items like broken glassware or scuffed furniture. The waiver does not cover loss, theft, or malicious damage. You can find full details of the waiver terms and conditions on the website.
