Build stand hospitality around the meeting schedule

Exhibition catering works best when the stand team plans drinks and serviceware around the actual meeting pattern. Morning meetings often need coffee on arrival, hot water for tea and enough cups for one full turn of the guest list. A compact filter coffee machine and one hot water urn cover that job on a medium stand, provided the stand power can take the load. Afternoon press events and client drinks need a different mix. Teams often add a mini fridge for milk, soft drinks and chilled wine, then stage wine glasses, tumblers, cutlery and side plates for nibbles or canapés. A champagne cooler or ice bucket helps when the stand hosts a product launch or drinks reception at the end of the day. Venue rules still matter. Some exhibition venues restrict alcohol service or expect a licensed bar contractor for full service, so the organiser or stand contractor should confirm the rules before the equipment order is final. That check matters at major venues such as the NEC, ExCeL and Olympia where hall policies can differ by event. Ordering the catering equipment with the stand furniture also saves time because one delivery can cover the reception desk, stools, hospitality table and service kit. That means fewer suppliers, fewer loading notes and fewer chances for missing stock when the hall opens. Keep the hospitality offer tight. A well-run stand needs fresh coffee, cold drinks, clean glasses and enough plates for a short buffet, not a full kitchen hidden behind the graphics wall.

Order enough serviceware for one clean turn and one reserve turn

Glassware and crockery disappear fast on busy stands because guests leave items on corners, staff carry trays into meeting rooms and press briefings often bunch together. Many exhibitors order one full turn for the planned guest count, then a reserve turn so the stand can survive a delayed wash-up or an extra meeting. A mini fridge keeps milk and soft drinks close to the coffee point, while a champagne cooler supports one fixed hospitality zone instead of sending staff back through the hall for ice. If the stand has no sink or waste point, order enough cups and glasses to cover the full session. That approach often costs less than trying to improvise with disposables on a premium stand.

Frequently asked questions

What catering equipment suits an exhibition stand?

Many stands hire a filter coffee machine, a hot water urn, a mini fridge and the right glasses, crockery and cutlery for the meeting schedule.

Can I serve alcohol on an exhibition stand?

Some venues allow it and some events require a licensed bar contractor, so you should confirm the venue rules before planning alcohol service.

Should I order stand catering equipment and furniture together?

Yes. One combined order helps with loading bay access, timing and stand set-up.

How many glasses should I order for a stand drinks event?

Order at least one full turn for the expected guest count and a reserve turn if the stand has limited wash-up space or several meetings close together.
