A reception for 100 guests involves a lot of moving parts. Hiring furniture and tableware gives you flexibility on quantities, removes the problem of storage and washing up afterwards, and keeps costs predictable. Whether you're dressing a marquee in a field, a converted barn, or a hotel function room, the same core equipment applies.

What You'll Need

Weddings typically need a combination of seating, tables, linen, and tableware. The quantities depend on your guest count and whether you're having a sit-down meal, a buffet, or both.

• Chiavari chair hire — the standard choice for wedding receptions; available in gold, silver, black and white, with or without cushions
• Round banqueting table hire — 5ft rounds seat 8 guests, 6ft rounds seat 10; mix sizes to fill your floor plan
• Linen hire — white tablecloths and napkins for a clean finish; coloured linen available for themed receptions
• Crockery hire — full place settings including dinner plates, side plates and bowls
• Glassware hire — champagne flutes for the toast, wine glasses for the meal; plan for two glasses per guest minimum
• Catering equipment — chafing dishes and serving equipment for buffets, urns for tea and coffee service

Planning Your Order

For a 100-guest sit-down reception, plan for around 110 chairs (10% extra covers late additions and the top table), 13 round tables (a mix of 5ft and 6ft), 100 place settings, and at least 220 glasses. Add extra wine glasses if you're serving multiple courses with wine.

Chair covers and sashes add decoration without replacing the chair itself. If you're hiring chiavari chairs, covers are rarely needed. For plain folding chairs in a marquee, covers make a big difference to the finished look.

Book as early as you can for summer dates. June to September is peak wedding season across England and Wales. Most couples confirm their hire order 6 to 12 weeks before the date, but popular summer weekends fill up faster.

Delivery and Collection

Expo Hire delivers seven days a week to all areas of England and Wales. Delivery and collection starts from £40, calculated at checkout by distance from the depot. The standard hire period covers delivery the day before your event and collection the day after.
