Size the drinks service around the break schedule

Conference catering works best when the drinks plan matches the timetable. A room of 90 delegates will often take one drink at the morning break and another at the afternoon break, so the catering team should plan for about 90 cups per service point each time the doors open. A 6L filter coffee machine produces about 30 cups, so a 90-person room needs one machine brewing while a second batch waits in reserve, or a coffee machine paired with tea and hot water service so the load splits across two queues. Urn sizing helps here. One litre gives about five cups, so a 20L urn produces around 100 cups and a 30L urn covers around 150 cups. That makes the 20L unit a strong match for smaller seminar rooms and the 30L unit the safer choice for larger conference areas or worship spaces. Each urn draws around 3kW, so each one needs its own 13A socket. Do not plug two urns into one extension and hope for the best. Filter coffee machines also need dedicated sockets and enough counter depth for jugs, cups, milk and sugar. Espresso service has a different job. A commercial La Marzocco machine suits VIP hospitality, sponsor lounges and branded activation bars where guests expect flat whites, cappuccinos and espresso on demand. It takes more staff skill than a filter unit, but it adds theatre and higher drink quality. Cold drinks need the same logic. Juice dispensers suit breakfast buffets and schools. Cold water dispensers suit conferences, staff rooms and production offices where delegates refill glasses through the day. The strongest beverage station has a clear flow: cups first, hot drinks next, milk and sugar after that, and a waste point at the end so the queue never stalls.

Build one station for self-service or one station for premium service

Self-service stations need capacity and speed. Put one filter coffee machine beside one hot water urn, then stage tea bags, sugar, milk and spare cups so guests can serve themselves without calling staff. Premium hospitality needs a different shape. A La Marzocco espresso machine belongs on a staffed counter with fresh milk, knock box space and room for a grinder if the package includes one. Wedding breakfast coffee service often works with urns and filter coffee because the room needs volume, while a green room or exhibitor lounge often justifies espresso. If the venue gives you one 13A circuit, keep the plan simple and stay inside the load. One urn and one coffee machine will do more for service than three appliances fighting for the same plug board.

Frequently asked questions

How many cups does a 20L urn serve?

A 20L urn serves about 100 cups because one litre gives about five cups.

What should I hire for a 90-person conference break?

Many teams choose a 6L filter coffee machine for around 30 cups, then pair it with a 20L or 30L hot water urn for tea so the guest load splits across two service points.

Does each urn need its own socket?

Yes. A hot water urn draws about 3kW, so each urn should have its own 13A socket.

When should I hire an espresso machine instead of a filter machine?

Hire an espresso machine for VIP hospitality, sponsor lounges and staffed coffee bars where drink quality and presentation matter. Hire a filter machine for fast self-service at conferences and large meetings.
