What You'll Need

Corporate events cover a wide range of formats. A networking evening needs different furniture to an awards ceremony or a training day. Plan by room layout first, then match the equipment to the setup.

  • Conference chair hire — stacking chairs for theatre or classroom layouts; aim for one chair per delegate plus 5 to 10% spare
  • Trestle and folding table hire — 6ft trestles for classroom layouts; boardroom configurations use narrower tables pushed together in a rectangle
  • Poseur table and bar stool hire — the standard setup for networking receptions and registration areas
  • Linen hire — tablecloths for awards dinners; plain white or black for most corporate colour schemes
  • Crockery hire — cups, saucers and side plates for delegate catering; full place settings for awards dinners
  • Glassware hire — wine and champagne glasses for awards evenings; water jugs and tumblers for conference sessions

Planning Your Order

Theatre-style seating fits the most delegates into a room. A 200-seat theatre layout needs around 200 chairs and a clear aisle down the centre, with no tables. Classroom-style roughly halves your capacity but gives delegates a writing surface; a 100-person classroom layout typically needs 50 trestle tables and 100 chairs. Boardroom layouts suit smaller groups and work best with 8 to 20 people.

For product launches and awards evenings with a reception element, a mix of poseur tables for standing guests and round dinner tables for the seated portion works well. Plan for one poseur table per 4 standing guests for mingling, or one poseur and one bar stool per person if you want everyone seated.

AV requirements affect your layout. Leave clear sightlines to screens and allow enough space between rows for cable runs if your AV team needs floor access during the event.

Delivery and Collection

Expo Hire delivers seven days a week to all areas of England and Wales. Delivery and collection starts from £40, calculated at checkout by distance from the depot. The standard hire period covers delivery the day before your event and collection the day after.

For one-day conferences, book delivery for the afternoon or evening before so the room is ready when your team arrives to set up.
