Terms and conditions of hire at Expo Hire. Read and accept these before placing an order for equipment hire.
PLEASE READ THESE TERMS AND CONDITIONS CAREFULLY BEFORE PLACING AN ORDER. BY PLACING AN ORDER WITH EXPO HIRE UK LTD, YOU CONFIRM THAT YOU HAVE READ, UNDERSTOOD, AND AGREE TO BE BOUND BY THESE TERMS AND CONDITIONS IN THEIR ENTIRETY.

Expo Hire UK Ltd is a business-to-business supplier. All equipment is commercial grade and is not intended for domestic use or for use at non-business premises. By placing an order, you confirm that you are acting in the course of a business. Private individuals who place orders do so on the express understanding that they will be treated as business customers and will not be afforded the protections of the Consumer Rights Act 2015. No statutory cooling-off period applies.
Expo Hire UK Ltd reserves the right, at its sole discretion, to refuse any order.
Expo Hire UK Ltd may amend these Terms and Conditions at any time without prior notice. Amendments take effect immediately upon publication on this website. Your continued use of this website or placement of an order following any amendment constitutes acceptance of the revised Terms and Conditions.
Orders may be placed online at any time. Stock availability is confirmed at the point of order; however, Expo Hire UK Ltd reserves the right, in exceptional circumstances, to substitute equivalent items or to cancel or reschedule an order. You will be contacted prior to any such change being made.
All advice given by members of staff is of a general, non-professional nature and does not form part of any contract. You are solely responsible for satisfying yourself that any items you hire are suitable for your intended purpose before placing an order.
All equipment and services must be paid for in advance. An order is not confirmed until payment in full has been received, or a valid purchase order number has been provided and accepted by Expo Hire UK Ltd.
In the event of non-payment, the Hirer shall be liable for all costs incurred by Expo Hire UK Ltd in recovering the debt, including but not limited to: a Letter Before Action fee of £30.00; debt collection agency fees of 20% of the overdue balance; interest at 8% per annum above the Bank of England base rate; and statutory late payment compensation of £40.00 on balances under £1,000.00 or £70.00 on balances of £1,000.00 or more.
By placing an order, you authorise Expo Hire UK Ltd to retain your payment card details and to apply further charges to that card without further notice where additional sums become due. Such charges may include, but are not limited to: extended hire fees; charges for damaged, lost, or stolen items; cleaning charges; and additional delivery or collection costs.
The Hirer is responsible for all hired items from the time of delivery until they are returned to and receipted by Expo Hire UK Ltd. Any items that are lost, stolen, or damaged during the hire period must be replaced by the Hirer at replacement cost. Replacement value is typically ten times the hire value of the item concerned.
Loss and damage can only be assessed once items have been returned to our warehouse; it is not possible for a driver to assess loss or damage at the point of collection.
Where items cannot be located following an event, the Hirer may, at Expo Hire UK Ltd's discretion, extend the hire period whilst conducting an insurance claim or search. Hire charges will continue to accrue until a written agreement is reached regarding replacement. Where extension of hire is not practicable or the Hirer cannot be contacted, Expo Hire UK Ltd reserves the right to invoice for replacement at the most economical rate available.
Where the original payment was made by card, the Hirer consents to the replacement cost being charged to the same card without further authorisation. An administration fee of £25.00 will be applied to all deposit claims relating to missing, damaged, or vandalised items.
Customers may elect to use the Send It Back Dirty service at the point of ordering. Where this service is selected and paid for, all crockery must be scraped clean and all glassware emptied prior to return. Food waste must be disposed of. Scourers, abrasives, and domestic or commercial dishwashers must not be used on any aluminium items, as this will cause permanent damage for which the Hirer will be charged.
Customers who do not take the Send It Back Dirty service must return all items in the same condition of cleanliness in which they were supplied, ready for immediate re-hire, by 10.00am on the day following the event.
The cost of professional laundering is included in the linen hire price. Linen does not need to be washed before return; it should be placed back into the delivery bag dry. Linen that is returned wet or damp may be permanently damaged by mildew, for which the Hirer will be charged at replacement cost.
Delivery and collection charges are not included in the published hire prices and are calculated at checkout based on distance. All delivery and collection services are kerbside, ground floor only, with a maximum carry distance of 10 metres. Drivers will not carry items up or down stairs, use lifts, or enter fields without prior written authorisation.
Deliveries and collections take place between 8.00am and 8.00pm. Customers receive a text message with a live tracking link when their delivery or collection vehicle is dispatched. Expo Hire UK Ltd strongly recommends arranging delivery the day before the event; no liability will be accepted for late delivery where delivery has been requested on the day of the event.
The Hirer or an authorised representative must be present at the delivery and collection address. Wasted journeys caused by non-attendance will be charged for in full. Deliveries to unoccupied premises or third parties are made entirely at the Hirer's risk and require prior written authorisation.
Where access is obstructed, denied, or requires the vehicle to leave the public highway, additional charges of £12.50 per quarter hour (or part thereof) will apply. Any parking penalties incurred during delivery or collection will be charged to the Hirer pending appeal. Alternative collection arrangements require written confirmation from our office.
At checkout, Premium Delivery and Collection may be selected, providing a two-person crew and an extended time allocation of 30 minutes. This option is mandatory for certain heavy or oversized items and will be added automatically where required.
Setup and breakdown services are not included in standard delivery charges and must be quoted for separately. All items must be stacked and ready for collection in the same location as delivered. Failure to comply will incur a breakdown charge starting at £250.00 plus VAT.
Hired items must not be transported to any third-party location following delivery without prior written approval from Expo Hire UK Ltd.
All refrigeration units must stand switched off for a minimum of 12 hours after delivery before being activated. Failure to observe this requirement may cause irreversible mechanical damage, for which the Hirer will be charged.
Equipment will be available for delivery up to 48 hours before the event date and must be available for collection no later than one day after the event. Standard 72-hour hire periods encompass a maximum of three consecutive days, inclusive of the delivery and collection days. Extended hire is charged at an additional 20% of the original hire charge per day.
Extended hire charges will be applied to the payment card on file either at the time of booking or on the first day of the extended period.
All hired items, including all packaging materials, remain the property of Expo Hire UK Ltd at all times. Missing or damaged packaging will be charged at a minimum of £5.00 per item.
Hired stock must not be mixed with the Hirer's own items or the stock of any other hire company.
The Hirer shall fully indemnify Expo Hire UK Ltd in respect of all claims by any person for death, personal injury, or damage to property arising from the use of hired items, and all associated costs and charges.
Wooden and fabric items must not be stored in damp or wet conditions. Gazebos must be properly secured at all times, including by guy ropes, ground pegs, or leg weights.
All equipment is supplied on a dry hire basis. Items are delivered clean and in tested working order. Expo Hire UK Ltd does not provide installation, commissioning, connection to gas or electrical supplies, setup assistance, or on-site technical support. The Hirer is solely responsible for the safe connection, operation, and use of all hired equipment from the point of delivery until collection.
Expo Hire UK Ltd provides the most cost-effective solution, which is not always the most appropriate solution for every customer. Dry hire is intended for experienced trade operators who are already familiar with the equipment. Any customer who is not confident in their ability to operate a particular item is strongly encouraged to contact us before placing an order. Where the Hirer lacks the necessary competence or facilities, Expo Hire UK Ltd would recommend engaging a full-service hire company.
In Expo Hire UK Ltd's experience, the overwhelming majority of reported equipment failures are attributable to user error, including incorrect setup, unfamiliar operating procedures, or steps omitted during installation. Equipment that cannot be operated by the Hirer due to a lack of experience does not constitute a fault. No replacement equipment will be dispatched and no refund will be issued on this basis.
Any concern regarding the operation of technical equipment must be reported by telephone during office hours without delay. Equipment should be tested immediately upon delivery. Hirers must not wait until the day of the event to identify or report problems.
Drivers employed by Expo Hire UK Ltd are not qualified gas engineers and must not be treated as such. All LPG equipment, including BBQs, gas burners, LPG ovens, and gas bottle regulators, is supplied for use by persons with the relevant competence and experience. Fixed or semi-permanent LPG connections must be made by a Gas Safe registered engineer. The Hirer is solely responsible for the safe connection, operation, and regulatory compliance of all gas equipment.
All gas equipment supplied by Expo Hire UK Ltd is intended for outdoor use or use in temporary, well-ventilated spaces only. Under no circumstances should gas equipment be operated in a confined space or within any permanent structure.
Electric ovens, hot cupboards, beer coolers, glass washers, and all other electrical catering appliances must be connected by a competent person familiar with commercial catering equipment. Equipment must not be connected to a domestic power supply where the appliance rating exceeds the supply capacity. Expo Hire UK Ltd accepts no liability for equipment failure caused by an inadequate or unsuitable power supply.
Expo Hire UK Ltd supplies Lindr plug-and-play beer dispensers exclusively. These are self-contained units that require no gas, CO2, external regulators, or draught lines. The unit connects to a standard domestic power socket; the keg connects directly to the machine. The unit chills and dispenses beer without any gas supply.
Equipment is dispatched tested and in full working order. Hirers must test the unit immediately upon delivery. Any issues must be reported to Expo Hire UK Ltd by telephone during office hours without delay. In Expo Hire UK Ltd's experience, reported faults with beer dispense equipment are almost invariably the result of incorrect setup or unfamiliarity with the operating procedure.
Live chat support is available between 8.00am and 8.00pm, seven days a week. Outside regular office hours (Monday to Friday (excluding bank holidays), 9.00am to 5.00pm), only a limited range of enquiries can be resolved. Technical equipment faults and operational issues must be raised during office hours. Hirers with weekend events must ensure all technical equipment has been tested and confirmed in working order before close of business on the preceding Friday. Expo Hire UK Ltd is unable to resolve technical issues outside office hours.
Once an order has been confirmed, no full refund is available in the event of cancellation, postponement, or change of event. The following cancellation policy applies:
No refund is available for partial cancellation of an order or the removal of individual items. Expo Hire UK Ltd strongly recommends that all Hirers take out appropriate event cancellation insurance. It is the Hirer's responsibility to ensure compliance with all applicable local, regional, and national regulations throughout the hire period.
Orders cannot be amended once placed. Additional items may be requested subject to availability, provided the request is made no fewer than 7 days before the delivery date. Such requests should be made via your account using the ‘Add to My Order’ function.
This policy exists because, during peak periods, stock, drivers, and vehicle capacity are allocated at the time of booking and are unavailable to other customers once reserved.
Expo Hire UK Ltd shall not be liable for any failure or delay in the performance of its obligations where such failure or delay results from circumstances beyond its reasonable control, including but not limited to: acts of war or terrorism; civil unrest; pandemic or epidemic; industrial action; natural disasters; adverse weather conditions; fire; or any other event outside its reasonable control.
All hired equipment is the responsibility of the Hirer from the time of delivery until collection or return. The Hirer is responsible for ensuring that all equipment is kept secure and protected from adverse weather conditions throughout the hire period. Expo Hire UK Ltd strongly recommends that the Hirer takes out appropriate insurance covering equipment hire and event cancellation.
The Hirer shall indemnify and keep indemnified Expo Hire UK Ltd against all actions, claims, losses, damages, costs (including legal costs), and expenses arising directly or indirectly from any breach of these Terms and Conditions or from the Hirer's use of this website.
The total liability of Expo Hire UK Ltd to the Hirer under or in connection with any order shall not exceed the total value of that order. Expo Hire UK Ltd accepts no liability for any consequential, indirect, or economic loss of any kind. All disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Expo Hire UK Ltd is committed to resolving complaints promptly and fairly. Any complaint relating to equipment, service, or delivery should be directed to us as soon as possible. All complaints will be treated in strict confidence.
Any missing, damaged, or faulty items must be reported by telephone or email within 4 hours of delivery. Hirers are advised to inspect all items immediately upon delivery. Expo Hire UK Ltd can only attend to equipment at the original delivery address and accepts no liability for damage caused during onward transportation by the Hirer. Items collected from our warehouse that are found to be faulty must be returned to us without delay.
