Summer dates put pressure on the same equipment categories every year. June and July are especially busy for outdoor furniture, BBQs, gazebos, deck chairs, and evening heating, and once food service, shade, and drinks equipment start booking out, the rest of the event plan gets harder to shape. If your event lands in that peak window, the smartest move is to secure the items that define the layout and the service zones before you worry about the finishing touches.

Know what disappears first

The source guide highlights the categories that tighten up early: commercial gas BBQs, gazebos, outdoor rattan sets, patio heaters, and deck chairs. It also notes that commercial gas BBQs often need booking three to four weeks out for peak summer dates and that 3x6m gazebos move quickly from June onwards. Those are the lines that tend to shape the whole site, so they deserve attention first.

Use a 100-guest list as a working framework

For 100 guests, the source checklist suggests 10 to 12 6ft trestle tables, 80 to 100 folding or banqueting chairs, 2 to 3 3x3m gazebos for shade over food and drinks, and 4 to 6 parasols for guest shade. That is a useful starting point because it breaks the event into service and seating zones rather than treating the whole guest count as one block.

The same principle carries into catering. The source content lists 1 to 2 Cinders commercial gas BBQ units, 2 13kg gas bottles per BBQ per four hours of service, 6 to 8 chafing dishes for hot food alongside the BBQ, and 1 double door bottle cooler for drinks.

Drinks service needs its own space and stock

Summer events often go through more drinks than winter ones, so the bar area can grow quickly. The source checklist sets glassware at a minimum of 2.5 glasses per guest, adds large oval ice buckets at one per four guests for wine and beer, and suggests one Lindr beer dispenser per 80 guests per hour if you are serving draught. A later section adds a broader bar note: allow three to four drinks per guest for a two-hour reception, use a mobile bar unit with back-bar refrigeration, and count glassware at one wine glass plus one water glass per guest as a minimum, with 20 percent extra.

Book shade even if the forecast looks good

The source guide recommends at least one gazebo per food and drink station regardless of the forecast. That makes sense because cover protects equipment as well as guests. A 3x3m gazebo covers a bar setup or a trestle table comfortably and gives you shelter without the scale of a marquee. The same content also points to commercial gazebos in 3x3m and 6x3m formats for catering areas, reception zones, and stage wings.

Parasols do a different job. They help break a large outdoor site into smaller guest areas and add comfort around seating and drinks tables. When you plan the event, think about the service zones and the guest zones separately. They do not need the same kind of cover.

Do not ignore the evening changeover

British summer weather can feel settled in the afternoon and much cooler once the light drops. The source checklist includes patio heaters at one per 15m² of outdoor space for evening events, and it also notes that heaters are worth considering even in July. That does not mean every event needs them in large numbers. It means the later part of the day needs its own plan rather than being treated as an extension of lunch.

If your event runs into the evening, the layout may need to support longer stays, more drinks service, and warmer guest areas. That can affect the furniture mix as much as the heating count.

Lead times matter most on bigger orders

The source guide says many items can confirm with 48 hours notice, but it also recommends two weeks for larger orders or specialist items such as commercial ovens, large gazebos, and multiple BBQ units. Live availability appears on product pages, which helps, but early booking still gives you more room to shape the wider order and adjust if the guest count or site plan changes.

If your event sits outside Expo Hire's hire area and you need to buy rather than hire, the source content points to the sister site Expo Direct for outdoor furniture and equipment sales. For events within England and Wales, the key is to book the core summer stock before peak dates close the options down. Once the service, shade, seating, and drinks zones are secured, the rest of the event becomes much easier to finalise.

If you need extra background on evening cover, the source guide also links to the patio heater guide. Summer planning goes more smoothly when you treat the site as a set of working zones rather than one large guest count. That approach keeps the order focused and helps you secure the stock that carries the event.
