Most hire companies manage availability manually. A member of staff checks whether an item is in stock, tells you it is, takes your booking — and then a conflict surfaces days later when a second booking comes in for the same items on the same date. You get a call. The item you planned around is no longer available.

The problem with manual stock checking is timing. Two enquiries arrive within minutes of each other. Both get an honest "yes, it's available" response because, at the moment of checking, it is. One booking gets confirmed. The other gets confirmed shortly after. The conflict only surfaces when someone reconciles the bookings — often days later, sometimes closer to the event date.
For a large furniture order placed six weeks in advance, a call saying "we can't fulfil that" with two weeks to go is a serious problem.
The Expo Hire website connects directly to the stock management system. Every confirmed booking reduces available stock for that date immediately — not when a staff member processes the paperwork, but at the moment you complete the booking. The figures you see on the website reflect what's actually available for your date.
There is no separate confirmation step where someone checks a spreadsheet. The system does that check automatically, in real time, for every item in your basket.
You can check availability the day before a small event and trust that the result is accurate. For a last-minute order of chairs, tables or glassware, you don't need to call and verify — the website tells you what's available and you can book it.
This is particularly useful for event planners who add items to a booking after the original order, or who need to scale up quantities at short notice.
The stock system connects to the delivery schedule. A booking checks two things simultaneously: whether the items are in stock for your date, and whether a delivery slot exists for your venue's postcode on that date. A booking only confirms when both conditions are met. You won't receive a confirmation and then discover later that your postcode isn't covered on that day.
Confirmed bookings are protected. If a stock problem occurs between your booking and your delivery date — damage to items from a previous event, for example — Expo Hire contacts you before the delivery to discuss a substitution. The substitution conversation happens with enough notice to make a decision, not on the morning of your event.
This situation is uncommon. The inspection process after every booking identifies damage before items go back into available stock, which means the problem surfaces before your booking is affected rather than on the day of delivery.
