Expo Hire UK Ltd is a business to business supplier. Our products are commercial items not designed for domestic use or non business premises. We do not recommend individuals place orders with ourselves, if they do it must be with the clear understanding they will be treated as a business and will not be afforded the protection of the Consumer Rights Act. No cooling off period exists.
We may, at any time, and at our sole discretion, modify these Terms and Conditions of Hire. Any such modification will be effective immediately upon public posting of this change on our website and will apply to all orders placed after that date. For existing active contracts, the Terms and Conditions in force at the time the order was confirmed shall continue to apply until the completion of that specific hire.
Orders can be placed online 24hrs a day via this website, stock and availability are checked at the time of order however in rare instances we reserve the right to substitute items or cancel/move an order, we will contact you before making any changes.
If Expo Hire UK Ltd cancels or offers a substitute that is unacceptable to the Hirer, the Hirer's sole remedy shall be a full refund of the Hire Charge and any related delivery charges for the affected items. Expo Hire UK Ltd shall have no further liability in such circumstances.
All times given for either delivery or collection are indicative only. For the purposes of this Agreement, a "significant delay" means a delay of more than 2 hours beyond the agreed delivery window. If a significant delay to delivery occurs that is within Expo Hire UK Ltd's reasonable control and prevents the Hirer from using the Equipment for its intended purpose, the Hirer's sole remedy shall be a pro-rata reduction of the Hire Charge for the period the Equipment was unavailable, subject always to the Limitation of Liability clause below. Expo Hire UK Ltd shall not be liable for any other loss or damage arising from delivery or collection delays. We strongly advise against scheduling delivery on the day of your event or setup. Should the Hirer choose to take delivery on the day of their event, whilst the pro-rata reduction remedy for significant delays as described above will still apply, the Hirer releases Expo Hire UK Ltd from any further responsibility or additional liability for any implications or losses whatsoever arising from such late delivery.
Any advice given by any members of our staff is of a non-professional nature and does not form part of any contract between ourselves. You should investigate fully whether any items you hire are suitable prior to placing an order.
The hired Equipment is provided solely for the purpose specified in the Order and must be used in a safe, lawful manner and in accordance with any instructions or guidelines provided by Expo Hire UK Ltd. The Hirer must not modify, alter, or attempt to repair the Equipment. The Hirer is responsible for obtaining all necessary permits, licences, consents, and approvals required for the use of the Equipment at the event venue and must comply with all applicable local, regional, and national regulations.
The Hirer shall inspect the Equipment promptly upon delivery. Subject to any defects or shortages reported within 24 hours of delivery in accordance with these Terms, the Hirer is deemed to have accepted the Equipment as being in good condition and conforming to the Order. Expo Hire UK Ltd's liability for any defect or shortage not reported within this period is excluded.
During the hire period the Hirer shall: (a) use the Equipment with reasonable care and only for its intended purpose; (b) not attempt any repairs, modifications, or alterations to the Equipment; (c) not use the Equipment in a manner that could cause damage beyond normal wear and tear; (d) permit Expo Hire UK Ltd reasonable access to inspect, maintain, or retrieve the Equipment on reasonable notice; (e) not sub-hire, lend, charge, assign, or otherwise transfer the Equipment or any rights or obligations under this Agreement without Expo Hire UK Ltd's prior written consent; (f) keep the Equipment at the delivery address unless prior written consent is given for its relocation; (g) be responsible for the cost of any consumables such as fuel or gas required to operate the Equipment.
All equipment and services are booked on the strict understanding that payment is required in advance to allocate and book your stock and/or service. Orders cannot be confirmed without either payment in full or a valid purchase order number.
In the event of default of payment by the Hirer, the Hirer shall be liable for all costs incurred by Expo Hire UK Ltd in the recovery of overdue amounts. These costs shall include, but not be limited to: statutory interest at a rate of 8% above the Bank of England's base rate per annum, calculated daily, pursuant to the Late Payment of Commercial Debts (Interest) Act 1998; statutory compensation for late payment, being £40.00 for debts under £1,000.00 and £70.00 for debts of £1,000.00 or more; reasonable administrative costs incurred in issuing a Letter Before Action (currently £30.00); all reasonable debt collection costs actually incurred, which Expo Hire UK Ltd estimates at up to 20% of the overdue amount where a debt collection agency is engaged; and solicitors' fees and other legal costs incurred on an indemnity basis.
As part of this agreement, you authorise Expo Hire UK Ltd to securely store your credit or debit card details for the purpose of processing payments and any additional charges as outlined herein. Please be advised that Expo Hire UK Ltd does not directly store full card details; instead, these are securely held by our PCI-compliant payment gateway provider (Stripe) in a tokenised format. In the event of any additional charges being incurred — including additional hire charges, replacement of lost or stolen items, items returned damaged, items sent back dirty without pre-payment, and additional delivery charges — Expo Hire UK Ltd will notify the Hirer in writing (by email) of the nature and amount of such charges and provide supporting evidence where reasonably practicable. If the Hirer disputes a charge in writing within 3 business days of notification, the charge will be suspended pending review and resolution. The Hirer agrees that Expo Hire UK Ltd may otherwise charge the stored card for such charges. For minor charges under £50.00, these may appear on the final invoice and be processed without separate prior notification; in such cases, the Hirer's right to dispute the charge in writing within 3 business days of receipt of the invoice, and seek a refund, remains.
Certain delivery types attract surcharges that are calculated and displayed at checkout. These include weekend and bank holiday deliveries, deliveries to exhibition centres and stadiums, and orders below the minimum order value for certain venue types. Surcharges confirmed at checkout form part of the agreed contract price.
Any items that are either lost, stolen or damaged will need to be replaced by the customer. If after the event losses are found the customer will be fully liable for their replacement value. Any loss or damage will be established upon the return of items to our warehouse. It is impossible for a driver to establish loss whilst collecting and you accept that this can only be done once the items have been returned to us.
The Hirer will be charged the actual cost of replacement or repair, which may include the cost of the replacement item, administration, shipping, and loss of hire earnings calculated at Expo Hire UK Ltd's standard hire rates for the period the item is unavailable for re-hire. Expo Hire UK Ltd will provide reasonable evidence of such costs upon request. Alternatively, the hire customer may continue to extend the hire whilst they conclude an insurance claim or search for the missing items. Unless we are told otherwise hire fees will continue to be accrued until the point whereby we are informed that the goods have been lost and an agreement is reached on their replacement value. It may not be economical or practical for Expo Hire UK Ltd to extend the hire until the item/s are located, therefore in such uneconomical cases or where the hire customer cannot be contacted the hire customer agrees, by default, to the most economical solution available.
If missing items are not located and returned, or if agreement on their replacement value is not reached, within 14 days of collection, Expo Hire UK Ltd reserves the right to deem the items permanently lost and immediately invoice the Hirer for their full replacement value plus all accrued hire fees and administration charges.
A complimentary Minor Damage Waiver is included with every hire order, covering normal wear and tear and minor accidental damage to hired items during the hire period. The Minor Damage Waiver does not cover loss, theft, wilful damage, negligent misuse, or damage beyond minor accidental breakage. All Hirers are required to hold adequate insurance The Hirer is solely responsible for meeting any excess or deductible under their insurance policy; Expo Hire UK Ltd shall not be responsible for any shortfall in recovery arising from such excess. covering the full replacement value of hired equipment against loss, theft, and accidental damage throughout the hire period, regardless of this waiver.
If the hire payment has been paid by card payment the Hirer authorises Expo Hire UK Ltd to charge the same card for replacement costs, subject to the notification and dispute process for additional charges outlined in these Terms. Administration charges for arranging replacement of missing, vandalised, or hire items damaged as a result of negligence are charged at £60.00 per hour or part thereof.
The following basic preparation is required for all hired items, irrespective of whether the ‘Send it Back Dirty’ service is purchased: all crockery must be scraped free of food waste, all glasses emptied, and all other items cleared of significant food debris. Under no circumstances should scourers or abrasives be used on any hired equipment, nor should aluminium parts or hire items be washed in commercial or domestic dishwashers, as this will cause permanent damage. The 'Send it Back Dirty' (SIBD) service covers the commercial washing of eligible items. Visitors using our website to obtain quotes or place orders may request a price with or without our SIBD service. Customers who do not take advantage of the SIBD service must return items in exactly the state of cleanliness in which they were received, i.e. they must be in a condition suitable for immediate re-hire upon collection by Expo Hire UK Ltd. For all non-linen items, "clean" means: crockery scraped free of food waste, glasses emptied and free of residue, and all items free from significant food, grease, or other debris. Crockery, cutlery, and glassware must be returned in the original packing crates or boxes in which they were delivered. Linen must be returned dry; please do not bag wet or damp linen. Customers who opt to do their own washing will be charged additional fees if returned items are found to require additional cleaning by us.
For non-linen items where the Hirer chooses to clean themselves, items must meet the 'suitable for immediate re-hire upon collection' standard. If returned items require additional cleaning, charges will apply. Linen laundering is included in the hire price; simply place linen items back into the bags in which they were delivered.
All hired Equipment must be returned to Expo Hire UK Ltd in the same condition as delivered, fair wear and tear excepted. The Hirer is responsible for ensuring Equipment is ready for collection at the agreed time and location, properly packed or crated as delivered. Equipment not so returned may attract additional charges as set out in these Terms.
Delivery and collection services are NOT included in the Hire Charge set out on this website. A delivery and or collection charge "at cost" is calculated at checkout depending on distance. Delivery services are from door to door and based on a single driver having unencumbered access to a convenient ground floor location. An extra charge will be made if hired items have to be carried over any distance greater than 50 metres. Drivers do not, and will not, carry hired items up or down stairs or steps or use passenger lifts. Hirers should ensure that they or their representatives are at the delivery/collection address. Wasted journeys deriving from non-attendance, denied access, or items not being ready for collection will be charged at the standard delivery/collection rate for that route, plus waiting time at £120.00 per hour or part thereof. Deliveries to third parties or unoccupied premises are made entirely at the hirer’s risk and will not be delivered unless authorisation is received in writing. In the case of Collection, all goods should be checked by the hirer, re-boxed as appropriate and ready for immediate kerbside collection. We will not allow our vehicles to drive onto fields without prior authorisation.
All deliveries and collections are based on Expo Hire UK Ltd having unencumbered access to a convenient ground floor location. A standard single-driver delivery/collection allowance of 15 minutes is provided for completion. For Premium Delivery, this allowance increases to 30 minutes. Waiting time exceeding the applicable allowance, or any delays due to access problems, will be charged at £120.00 per hour or part thereof. If, after a reasonable waiting period, delivery or collection remains impossible due to denied access, blocked access, impassable routes, or the Hirer's non-attendance, a full wasted journey fee will be charged at the standard delivery/collection rate for that route, in addition to any accrued waiting time. Any parking tickets or fines issued to Expo Hire UK Ltd vehicles whilst executing a delivery or collection will be charged to the Hirer only if the fine is validly imposed or if Expo Hire UK Ltd's appeal is unsuccessful, and only where the fine arose due to the Hirer's failure to provide adequate parking or access for the delivery/collection vehicle. Alternative collection arrangements must be made in writing and confirmed by our office.
Setup and Breakdown charges are not included with carriage, this is an extra service which will need to be quoted for. All orders must be stacked and ready for the driver upon collection, in the same place the items were delivered. If this is not the case a breakdown fee will be charged, which start at £250 exc VAT.
Paying for Premium Delivery and Collection at checkout ensures that the driver will be accompanied by a second person to ensure efficient delivery of heavy or awkward items. In addition, your time for delivery and collection will rise from 15 to 30 minutes. Some items require Premium Delivery and Collection to be paid for due to their sheer size and weight; if this is the case it will be automatically added during checkout.
Deliveries and collections are made at any time between 8am and 8pm. You will receive a live tracking link so you can monitor your delivery in real time.
Once delivered customers are not allowed to transport our goods to a third party location without prior approval.
Depending on availability the option for morning or afternoon delivery and collection are available at an extra cost, however we cannot guarantee any more precise timed deliveries or collections. It is imperative to get things delivered the day before an event as we cannot be responsible if we do not get to your event on time if items have been ordered on the day of the event. If items can be left in a secure area our drivers can access then it is possible for a customer not to be present for collection.
All refrigeration units must not be switched on for at least 12 hours after delivery. Failure to leave a fridge standing switched off will result in irreversible damage which will be charged for.
All glassware and cutlery are commercially washed and inspected prior to delivery. Items are not hand-polished. Hirers requiring polished presentation should allow time to hand-polish items on arrival.
Goods will be available for delivery by us up to 48hrs before the event and must be collected no later than one day after.
72hr hire periods cover a maximum of 3 days including the day of delivery and the day of collection. Extended hire periods are charged at a per day rate of an additional 20% of the initial hire charge.
All hired items, including cardboard or plastic packing containers remain the property of Expo Hire UK Ltd. Damaged, missing, or destroyed packing containers will be charged at a minimum of £5.00 per packaging item.
You are not permitted to mix our stock with either your own items or those of other hire companies.
Extended hire costs will be charged to your debit or credit card either at time of order or on the first day of the extended hire. Please note, if we are unable to collect our property at the agreed time due to the Hirer's actions or breach of this Agreement then both additional collection and hire charges will be charged.
The hirer is responsible for the safe keeping of all hired items from the time of delivery, until returned to the custody of Expo Hire UK Ltd. If you leave any items in the care of a third party you are fully liable for its wellbeing until it has been collected. Wooden or fabric items must not be stored in damp or wet conditions.
Linen hire charge includes the cost of professional laundry services. Linen must be completely dry before returning. Linen can be ruined by mildew if left damp or wet. Damage by mildew, cigarettes, candle burns or hot cooking utensils will be charged to the hirer at replacement cost for each item.
Gazebos must be secured to the ground (especially in windy conditions) when hired either by use of guy ropes and pegs or by leg weights.
Our drivers are not qualified gas engineers and should not be treated as such. All LPG equipment should be installed and tested onsite by a Gas Safe engineer before use.
All of our gas equipment is for use outdoors or in temporary well ventilated spaces. You should not use any of our gas equipment within a confined space or inside a permanent structure.
All equipment is supplied on a dry hire basis. Hirers of technical equipment — including gas appliances, LPG BBQs, catering ovens, draught beer fonts, and electrical catering equipment — must ensure that suitably competent personnel are available to connect, operate, and safely decommission such equipment. Technical support from Expo Hire is available by telephone during office hours only. No on-site or on-call technical support is provided.
We strongly recommend that gas equipment is used for events where only temporary power supplies are available. Usage of electrical appliances with high power ratings on a temporary power supply can cause the supply to trip and appliances to not work properly or at all. We cannot be held responsible if electrical hire equipment has failed due to issues with the power supply.
Once your order is confirmed and booked we regret we cannot offer a full refund should your event be cancelled, postponed or moved. Our refund policy is as follows.
We cannot offer refunds for part cancellation of orders, or removal of specific items.
We must stress in the most definite terms to all customers that it is vital that you get insurance against your event being cancelled. Your first port of call should an event be cancelled should be with your insurers.
We must also stress that it is the responsibility of the customer to ensure that they are compliant with all local, regional and national restrictions for the entire duration of the hire period.
We cannot amend an order once placed. You may be able to add additional items, subject to stock availability and available van space on your delivery run. To do this simply log into your account in the backend and click the ‘add to my order’ button.
The reason we have to be so strict regarding this is that during busy periods we are always booked to capacity both for stock and for van space. Once you place your order with us stock, drivers and van space are automatically reserved for you, meaning these items aren’t available to other customers.
We cannot accept liability where the "performance or prompt performance of our contractual obligations is prevented or affected by circumstances amounting to force majeure" Such events may include but are not limited to war or threat of war, riots, civil strife, terrorist activity, pandemic, industrial action, natural or nuclear activity, severe weather conditions, fire, or any events outside our control".
All equipment is the responsibility of the Hirer from the time of delivery until collection, including equipment left at other premises. The Hirer must maintain adequate insurance for the Equipment against loss, theft, and accidental damage for its full replacement value throughout the Hire Period. The Hirer must also hold appropriate public liability insurance covering the use of the Equipment during the event. Proof of insurance may be requested by Expo Hire UK Ltd prior to delivery. You should also ensure the equipment is kept dry and stored securely at all times.
The Hirer must take out event cancellation insurance. Expo Hire UK Ltd cannot accept liability for losses arising from event cancellation caused by circumstances beyond its control.
The Hirer shall fully indemnify and keep Expo Hire UK Ltd indemnified against all actions, claims, losses, costs (including all legal costs on an indemnity basis), damages and expenses suffered or incurred by Expo Hire UK Ltd arising directly or indirectly from:
(a) Any breach or alleged breach by the Hirer of these Terms and Conditions;
(b) Any negligence, wilful act or omission of the Hirer, its servants, agents, or employees;
(c) Any claims by any third party for death, personal injury, or damage to property caused by, in conjunction with, or arising out of the Hirer's possession, use, or misuse of the hired Equipment.
This indemnity shall not apply to the extent that any loss, damage or liability arises from Expo Hire UK Ltd's own negligence, wilful default, or breach of statutory duty.
Expo Hire UK Ltd shall not be liable for any indirect or consequential losses, damages, or expenses whatsoever, including but not limited to loss of profit, loss of revenue, loss of business, loss of reputation, loss of anticipated savings, or any other similar losses, arising out of or in connection with the hire of equipment under this Agreement, or any non-performance or breach of contract.
Expo Hire UK Ltd's total aggregate liability for any direct loss or damage arising out of or in connection with this Agreement shall be strictly limited to the total Hire Charge paid for the specific Order giving rise to the claim. This limitation applies to all claims, whether in contract, tort (including negligence), breach of statutory duty, or otherwise. Nothing in these Terms and Conditions shall limit or exclude Expo Hire UK Ltd's liability for: (a) death or personal injury caused by its negligence; (b) fraud or fraudulent misrepresentation; or (c) any other liability which cannot lawfully be excluded or limited under English law.
All disputes arising out of or in connection with this Agreement shall be subject to the exclusive jurisdiction of the courts of England and Wales.
In this Agreement: "Agreement" means these Terms and Conditions together with any Order; "Equipment" means the items specified in the Order; "Hire Charge" means the total charge payable for the hire of Equipment as set out in the Order; "Hire Period" means the period from delivery to collection as specified in the Order; "Hirer" means the business or sole trader placing the Order; "Order" means the Hirer's booking confirmed by Expo Hire UK Ltd.
Expo Hire UK Ltd is a business-to-business supplier. Our equipment is commercial-grade and not designed for domestic use. By placing an Order, the Hirer must actively confirm at checkout that they are contracting as a business or sole trader for business purposes and not as a consumer. This includes individuals operating as sole traders, event planners, caterers, or in any other business capacity.
Where a Hirer makes this declaration, the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013 do not apply to this Agreement. A Hirer who falsely declares business status accepts that any legal risk arising from that misrepresentation rests solely with them. Expo Hire UK Ltd does not collect information about the purpose of hire and processes all orders on the basis of the Hirer's declaration.
A deposit may be required at the time of booking to secure the Equipment and cover potential additional charges. The deposit amount, if applicable, will be specified in the Order. Expo Hire UK Ltd may apply the deposit against any outstanding charges incurred under this Agreement, including charges for damage, loss, theft, additional cleaning, or late return of Equipment. Any remaining balance will be returned to the Hirer within 14 business days following the collection date, or as soon as reasonably practicable following finalisation of any outstanding charges or damage assessment, whichever is later. Expo Hire UK Ltd will provide an itemised statement of any deductions made from the deposit.
All equipment supplied by Expo Hire UK Ltd remains the sole and exclusive property of Expo Hire UK Ltd at all times. The Hirer has no right, title, or interest in the Equipment other than the right to use it during the Hire Period in accordance with this Agreement. The Hirer must not sell, sub-hire, pledge, charge, lend, or otherwise deal with the Equipment, or allow any lien or encumbrance to arise over it, or attempt to deface any identifying marks or labels on the Equipment.
Expo Hire UK Ltd may terminate this Agreement with immediate effect by written notice if: (a) the Hirer fails to pay any sum due under this Agreement by the due date; (b) the Hirer destroys, abandons, or attempts to dispose of the Equipment; (c) the Hirer becomes insolvent, enters administration, or ceases trading. On termination, the Hirer must immediately make the Equipment available for collection. The Hirer remains liable for all charges accrued up to the date of termination and for any damage to or loss of Equipment.
Expo Hire UK Ltd processes personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Personal data provided in connection with this Agreement is used to fulfil the hire contract, manage the customer relationship, and comply with legal obligations. Full details of our data processing practices, your rights, and how to contact our Data Protection Manager are set out in our Privacy Policy at expohire.com/terms/privacy.
Entire Agreement: This Agreement constitutes the entire agreement between the parties and supersedes all prior discussions, negotiations, representations, and agreements, whether oral or written. The Hirer acknowledges that it has not relied on any statement, representation, or warranty not expressly set out in this Agreement.
Severability: If any provision of this Agreement is held to be invalid, illegal, or unenforceable by any court of competent jurisdiction, that provision shall be deemed severed from this Agreement. The remaining provisions shall continue in full force and effect.
Waiver: No failure or delay by Expo Hire UK Ltd in exercising any right or remedy under this Agreement or by law shall constitute a waiver of that or any other right or remedy, nor shall it prevent or restrict its further exercise.
Our approach to complaints is simple, in that our objective is 'satisfied customers'. If you have any reason for complaint, about our products, services, website, in fact anything to do with our company, then we hope you will contact us. We will respond to you as soon as possible.
Any missing, faulty, or broken items must be reported immediately by phone or email within 24 hours of delivery. We strongly recommend that on receipt of delivery of your hire equipment that you check all items. We can only come to service any equipment at the address it was delivered and we cannot be held liable for any damage that may have been caused while you have transported it. Any faulty items that have been collected from our warehouse need to be returned to us as quickly as possible.
Our aim is a top-class service so any help you, as a customer, can give us to improve would be gratefully received. All complaints will be dealt with in the strictest confidence.
This Agreement and any dispute or claim arising out of or in connection with it, its subject matter, or formation (including non-contractual disputes or claims) shall be governed by and construed in accordance with the law of England and Wales. The parties submit to the exclusive jurisdiction of the courts of England and Wales.
A person who is not a party to this Agreement shall have no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any of its terms.
Risk of loss, theft, damage, or destruction of the hired Equipment passes to the Hirer upon delivery and remains with the Hirer until the Equipment has been collected by Expo Hire UK Ltd's driver. Any damage, loss, or discrepancy identified upon return to our warehouse that is not attributable to Expo Hire UK Ltd's own handling during transit will be notified to the Hirer in accordance with the Additional Charges process.
All formal notices under this Agreement must be given in writing and sent by email to the address confirmed in the Hirer's account or order. Notices are deemed received on the next business day following transmission, provided no delivery failure notification is received.
The Hirer shall not assign, transfer, charge, sub-contract, novate, or deal in any other manner with all or any of its rights or obligations under this Agreement without the prior written consent of Expo Hire UK Ltd. Expo Hire UK Ltd may assign or transfer any of its rights or obligations under this Agreement at any time without the Hirer's consent.
By placing an order, the Hirer consents to Expo Hire UK Ltd carrying out credit and identity checks on the Hirer (and, where the Hirer is a sole trader or partnership, on the individuals concerned) using credit reference agencies. Information obtained may be used to assess creditworthiness and to verify identity. This does not affect the Hirer's rights under UK data protection legislation.
In the event of any dispute arising out of or in connection with this Agreement, the parties shall first attempt to resolve it through good faith negotiation between senior representatives within 14 days of written notice of the dispute. If the dispute is not resolved within that period, the parties agree to consider mediation before commencing legal proceedings. Nothing in this clause prevents either party from seeking urgent injunctive or other interim relief from a court of competent jurisdiction.
The Hirer shall comply with all applicable laws relating to anti-bribery and anti-corruption, including the Bribery Act 2010, and all applicable laws relating to modern slavery and human trafficking, including the Modern Slavery Act 2015. The Hirer shall not engage in any activity, practice, or conduct that would constitute an offence under those Acts.
Section headings in these Terms and Conditions are for convenience only and shall not affect their interpretation. References to "including" shall be construed as "including without limitation". Any reference to a statute includes any amendment or re-enactment of it.
If any provision of these Terms and Conditions is found by a court of competent jurisdiction to be invalid, illegal, or unenforceable, that provision shall be deemed modified to the minimum extent necessary to make it enforceable. If such modification is not possible, the provision shall be severed. The remaining provisions shall continue in full force and effect.
