Build a stand that can handle venue rules and short build windows

Exhibition work runs on tight deadlines. Build crews often get a short loading bay slot, strict hall access rules and a stand plan that leaves no room for mistakes. That is why stand teams should lock the equipment schedule before the build day. Start with the job of the stand. A lead generation stand often needs a greeting point, one or two poseur tables for quick talks and a small seated area for longer meetings. A product launch stand often needs the same furniture plus a showcase or plinth for the hero item, a barrier system for queue control and power towers for screens, lighting or laptops. Hospitality stands need a service point, undercounter chilling and enough glassware or crockery for back-to-back meetings. Venue rules matter at every stage. Exhibition halls may limit power on the stand, control where cables cross the floor and insist on tidy storage behind the feature wall. Some halls also care about point loading, so heavy display items and filled fridges must sit where the stand design can carry them. Delivery planning matters just as much. The supplier needs the hall name, stand number, build date and loading instructions before the van leaves. Expo Hire works with exhibition organisers and venue access systems so equipment can reach the loading bay in the right order and move to the stand with fewer delays. If you need one combined stand order, you can link barrier hire, exhibition accessories, stand catering equipment, exhibition furniture and display case hire on the same booking. That keeps the stand team away from the usual problem of five suppliers arriving in the same one-hour bay slot.

Create clear stand zones for greeting, meetings and product display

Most successful stands break the footprint into three simple zones. The front edge greets visitors with a counter, branded desk or poseur table. The centre of the stand handles conversations with stools, meeting tables or lounge furniture. The product zone shows samples in a case, on a plinth or behind a rope line if the item needs distance. Tech brands often choose white gloss or LED furniture because it reflects the stand lighting and keeps the look clean. Premium drinks, watch and jewellery brands often choose darker finishes, lockable cases and softer seating. The stand number and hall access note should go onto every order because one missing bay detail can waste half a build window.

Frequently asked questions

What information do you need for exhibition delivery?

Expo Hire needs the venue, hall, stand number, build date and any loading bay instructions so the delivery can route through the exhibition organiser rules.

What furniture works on a 3m x 3m exhibition stand?

Many 3m x 3m stands use one reception desk, two bar stools, one poseur table and one small display point or literature stand.

Do exhibition venues restrict stand power?

Yes. Many venues limit stand power and charge for extra feeds, so you should plan the electrical load before the build day.

Can I order furniture and stand catering equipment together?

Yes. Expo Hire can supply furniture, accessories, catering kit, barriers and display cases on one combined exhibition order.
