How to Set Up a Tea and Coffee Station at an Event

A tea and coffee station keeps guests comfortable at morning conferences, afternoon receptions, and breaks during all-day events. Getting the setup right means guests are not queuing for long and staff are not constantly running to a catering kitchen.

Core Equipment

The essentials are a hot water urn, cups and saucers or mugs, a teapot or cafetiere, milk jugs, and a sugar bowl. For larger events, add a second urn and space them along the table so guests can approach from both ends at the same time.

If you are serving coffee properly rather than instant, a large cafetiere or coffee percolator gives a better result without the need for a machine with pods or capsules.

Table Setup

A 6ft trestle table handles up to 30 guests comfortably before things feel cramped. For larger groups, use two tables end to end, or position them in an L-shape so guests can circulate without blocking each other.

Cover the table with a floor-length cloth if the station is in a visible area of the room. A short-drop cloth works better if the table will be accessed from both sides.

Quantities

Plan for two to three cups per person across a break. Not every guest drinks at every break, but it is better to have clean cups available than to run short. For a 50-person morning conference with two breaks, have 120 to 150 cups on hand.

Hire cups and saucers for formal events. For casual or outdoor events, mugs are fine and easier for guests to carry around.

Staffed vs Self-Serve

A self-serve station works well for conferences and informal receptions where guests drift in and out. A staffed station suits formal events where you want control over pace and presentation.

For a staffed setup, keep equipment back on the table so staff have room to work at the front. For self-serve, spread everything out so guests can see and reach each item without having to ask.
