Projector and Screen Hire for Events: A Practical Guide

This guide outlines the technical requirements for projector hire and screen selection for corporate events, conferences, and presentations. It covers the relationship between venue lighting, throw distance, and equipment specifications to assist in planning your audiovisual setup.

Assessing Venue Lighting and Lumens

The brightness of a projector is measured in lumens. Selecting the correct lumen count is the most critical factor in ensuring your presentation remains legible for the audience.

Low-Light Environments

In darkened rooms, such as blacked-out conference halls or evening venues, a projector with 2,500 to 3,000 lumens is generally sufficient. Lower lumen counts are acceptable here because there is minimal ambient light competing with the projection.

High-Light Environments

For daytime events, rooms with large windows, or venues where house lights must remain on, you require a projector with at least 4,000 to 5,000 lumens. If the ambient light is particularly strong, even higher specifications may be necessary to prevent the image from appearing washed out.

Selecting the Correct Screen Size

Screen size should be determined by the distance between the screen and the furthest viewer. A common rule of thumb is that the distance to the last row should be no more than six times the height of the screen.

  • 84-inch screens: Suitable for small meeting rooms with fewer than 20 people. These are compact and fit into smaller floor plans.
  • 120-inch screens: Standard for medium-sized conferences and award ceremonies. These provide enough surface area for detailed spreadsheets or video content.

Pull-up vs Tripod Screens

Tripod screens are traditional and stable, though they occupy a larger footprint due to the legs. Pull-up screens, such as our 84-inch pull-up projector screen hire, are more compact and faster to deploy. Pull-up models are preferred for events where floor space is limited or where a clean, professional aesthetic is required.

Throw Distance and Positioning

Throw distance is the measurement from the projector lens to the screen. Every projector has a specific throw ratio, which dictates how large the image will be at a given distance.

  • Short-throw: These projectors sit close to the screen, reducing the risk of presenters walking through the beam and casting shadows.
  • Long-throw: These require more space behind the audience. Ensure you have a clear line of sight from the back of the room to the screen.

Always verify the mounting height. The screen should be positioned so the bottom edge is at least 1.2 metres from the floor, allowing those at the back of the room to see the bottom of the projected image over the heads of the front row.

Connectivity: HDMI vs Wireless

Reliability is the priority for any presentation. Wired connections remain the industry standard for a reason.

HDMI Connections

An HDMI cable provides a direct, high-definition link between the laptop and the projector. It is less prone to interference than wireless alternatives. Always carry a spare HDMI cable and, if using a modern laptop, the necessary adapters (such as USB-C to HDMI) to match the projector’s input.

Wireless Systems

Wireless presentation systems offer flexibility, allowing multiple speakers to switch devices without physical cable swapping. However, these systems rely on local Wi-Fi stability. If the venue has poor network coverage, wireless connections may drop or experience significant lag.

Essential Equipment Pairings

A projector and screen rarely function in isolation. To create a functional event space, consider the following additions:

  • Flip charts: For interactive sessions or brainstorming, a flip chart easel hire provides a low-tech alternative for capturing notes alongside digital presentations.
  • Furniture: Ensure your speakers have a stable surface. Our furniture hire range includes lecterns and tables suitable for holding AV control equipment.
  • Catering: If your event includes refreshments, browse our catering equipment and glassware to support your break-out sessions.

Frequently asked questions

Do I need a dark room to use a projector?

No, but the brighter the room, the higher the lumen count required. If you cannot control the lighting, you must increase the projector's power to maintain image contrast.

Can I use a wall instead of a screen?

While possible, a wall is rarely flat enough and often has a texture that distorts the image. A dedicated projection screen provides a uniform, reflective surface that ensures colour accuracy and sharpness.

How far away from the screen should the projector be?

This depends on the projector’s lens. Check the specific throw ratio of your hired unit before setting up your room layout. A distance of 3 to 4 metres is common for standard projectors, but always test the image size before the audience arrives.

What happens if my laptop does not have an HDMI port?

Most modern laptops require an adapter. Ensure you bring a USB-C or Mini-DisplayPort to HDMI adapter to ensure compatibility with standard projector inputs.
