Hire companies that show live availability on their website have invested in stock management software that connects bookings directly to inventory. You can see exactly what's available for your date without picking up the phone.
"Call to check" availability is managed manually. Staff check a spreadsheet or whiteboard, confirm the item appears available, and take your booking. The risk is that two enquiries come in at the same time, both get told the item is available, and one of them gets a call days later to say it's no longer in stock. For furniture orders placed weeks in advance, that call often comes too late to find an alternative.
Real-time systems prevent this. Ask directly: does the website reflect live stock, or do you need to confirm availability manually?
Some hire companies quote a hire price that excludes delivery. The delivery charge is added at checkout or on the invoice. For a large order — 100 chairs and 12 tables — the delivery charge can be substantial, sometimes £100-200 depending on distance.
Always ask for an all-in price before comparing quotes from different suppliers. A hire price that looks cheaper may cost more once delivery is added.

A hire company that takes three days to respond to a quote request will be slow on every other interaction — confirming your booking, responding to a change, handling a delivery issue. If you run four or more events per year, ask whether account terms are available. Monthly invoicing, a named contact, and reduced rates for volume bookings are standard offerings among professional hire companies for established clients. You won't get these terms automatically — you need to ask for them, usually after your first two or three bookings.
