Last-Minute Event Hire: What’s Possible and What to Plan For

Last-minute event hire is possible, but it depends on what you need and how much notice you can give. This guide covers what is available at short notice and how to book fast.

Last-minute event hire is possible, but it depends on what you need and how much notice you can give. This guide covers what Expo Hire can usually supply at short notice, where stock runs thin, and what information you need to have ready when you call.

What Counts as Last-Minute

For event hire purposes, last-minute means less than five working days before your event. Under that threshold, standard online booking windows may not be sufficient to schedule delivery, and some stock — particularly specialist chairs and linen — may already be committed to other orders. Inside two working days, the options narrow further. A three-working-day minimum is what Expo Hire needs to guarantee a confirmed delivery slot.

What Is Usually Available at Short Notice

Standard folding chairs, trestle tables, basic white crockery and standard glassware are held in large quantities and are the most likely items to be available at short notice. These are the workhorses of event hire — ordered in volume throughout the season and restocked accordingly. If you need a straightforward setup with no specialist requirements, short notice is unlikely to be a problem.

What May Not Be Available

Specialist chairs — Chiavari, Cross Back, Ghost — are booked further ahead and stock depletes faster during peak weekends. Coloured linen is another common gap at short notice; white linen is usually available but coloured or patterned sets are often pre-committed by mid-week for weekend events. Large chafing dish sets for catering operations above 100 covers can also be tight at short notice. If any of these items are on your list, call as early as you can rather than waiting for an online quote that may take 24 hours to come back.

Minimum Lead Time

Three working days is the minimum Expo Hire needs to confirm and schedule a delivery. This allows time for stock checking, loading and routing the delivery vehicle. Same-day hire is not available. Next-day delivery may be possible in limited circumstances — call to ask rather than assuming. If your event is on a Saturday, the cut-off for confirming delivery is typically Tuesday of that week.

How to Check Availability Fast

For a short-notice enquiry, the fastest route is a phone call or the live chat on the Expo Hire website. An online quote request goes into a queue and may not be answered within the timeframe you need. When you call, the team can check stock in real time and give you a confirmed answer on what is available. Email works if you have more than three days to go, but inside that window, call.

What to Have Ready When You Call

Have the following information to hand before you contact Expo Hire: your delivery postcode, the event date, the collection date, and your approximate quantities. You do not need a full itemised list — a broad count of chairs, tables and any catering equipment is enough to run a stock check. The more information you give up front, the faster the team can confirm availability and turn around a quote.

Ordering Standard Over Specialist

If your first-choice chair or linen style is not available at short notice, the most practical solution is to substitute a standard item rather than contact multiple suppliers. A folding chair serves the same function as a Chiavari chair for most events. White linen covers all table sizes and suits most venues. Chasing a specific item from a second supplier adds coordination time and the risk of a separate delivery slot. One supplier, standard items, confirmed availability — that is the lower-risk route under time pressure.

Pricing for Short-Notice Orders

Expo Hire does not charge a premium for short-notice bookings. The pricing is the same as for orders placed weeks in advance. What changes is availability, not cost. This also means there is no financial advantage to booking very late — you are trading availability for no saving.
