Getting the Venue Floor Plan

Most venues supply a scaled PDF floor plan on request, or can give you the room dimensions in metres. Without actual dimensions, you cannot confirm that your table configuration fits the space. A rough room sketch with approximate measurements is sufficient for smaller events; a scaled PDF with marked fire exits is better for anything over 80 guests.

Round Tables vs Long Tables

Round tables let every guest at the table see every other guest across the setting. They suit mixed guest groups where conversation needs encouragement. Long banqueting tables and trestle tables suit family-style dining and communal receptions where guests know each other. The long format places some guests with their backs to the room, which suits informal events better than formal ones.

Space Per Guest

Allow 60cm width per place setting at a rectangular banqueting table. This is enough for a full dinner setting with a side plate and wine glasses without guests elbowing each other. Allow 75cm clearance behind a seated guest's chair for staff to move around the table during service.

Fitting more guests at a table by reducing these measurements is a common mistake that causes service problems and guest discomfort at full occupancy.

Aisle and Corridor Widths

The main approach aisle, from the room entrance to the top table or dance floor, needs a minimum of 1.5m. Service aisles between table rows need at least 1.2m for one staff member to pass with a full tray. Two-way service aisles need 1.8m.

Fire egress routes must remain clear. UK fire regulations typically require 1m clear from any obstruction to a fire exit. Confirm the specific requirement with your venue, not just the general regulation. Venues with unusual layouts or older buildings sometimes have higher requirements specified by their fire certificate.

Top Table Options

A traditional top table faces into the room. A rectangular table for 6 to 8 is standard; up to 14 for a large wedding party. A sweetheart table for two uses significantly less space and simplifies the seating plan by removing the top table allocation entirely. An oval top table allows all members of the wedding party to face the room and see each other, which avoids the problem of guests at the ends of a long table being side-on to each other.

Mixing Round and Long Tables

A mixed format, long tables for family groups and the top table, round tables for other guests, works when the linen is consistent throughout. Use the same tablecloth colour across all table shapes to tie the room together. Different linen for round and rectangular tables reads as two separate events sharing a room.

Top Table Clearance

Allow 1.5m behind the top table for service and for guests to reach their seats. A top table pushed against a wall or draping looks neat in photographs but makes service difficult and forces top table guests to climb over each other to reach their seats. The 1.5m behind the table is working space, not presentation space.
