A successful street party needs council approval, public liability insurance and the right mix of furniture and catering equipment. This checklist covers every hire item from trestle tables and gazebos to urns and chafing dishes, with quantity guides for 60, 100 and 150 guests.
A Temporary Traffic Regulation Order from your local council closes the road legally. Applications take six to eight weeks to process, and fees range from nothing to £500 depending on the council. Contact the highways department as soon as the date is confirmed. Some councils also require a noise management plan for events with amplified music.
Public liability insurance of at least £5 million is a condition of most TTROs. Many insurers offer one-day event cover from £50 to £80. Check that the policy covers all planned activities, including cooking equipment and inflatables.
Trestle tables at 6ft long seat six to eight guests per table when chairs are placed along both sides. They fold flat for storage and delivery, which matters when equipment must arrive before the road closes. For 60 guests, eight to ten trestle tables gives enough surface for seating and food service.
Folding garden chairs are the standard choice. They stack in sets of six and carry without a trolley. For events with a mix of adults and children, add a small number of children's chairs to the order.
20-litre urns produce around 110 cups from a single fill and run on a standard 13A socket. For 100 guests expecting tea and coffee, two urns running in sequence cover service without a queue. Chafing dishes keep food hot without power, using gel or wick fuel. They suit outdoor serving where power sockets are limited or absent.
A dedicated drinks table and one or two food tables is a practical split. One 6ft trestle for drinks, two for food, keeps the service flow clear and prevents guests bunching at one point.
A 3x3m gazebo covers one 6ft trestle table with enough clearance for guests on both sides. On tarmac, anchor with ballast weights of at least 18kg per leg; pegs go into grass only. Check wind forecasts before the event: gazebos need to come down or receive additional weighting in winds above 25mph.
For 60 guests, two gazebos cover the food and drinks area. For 100 guests, three to four gazebos give reasonable cover across seating and service zones.
Add 10 percent to chair quantities as a reserve for late arrivals.
Schedule delivery for the morning of the event, before the road closure takes effect. Give the driver the nearest accessible street and a contact number on the day. Collection the following morning is standard; confirm this when booking to avoid an extra day's hire charge.
Some councils restrict delivery times in residential areas. Check this when applying for the TTRO and pass the information to the hire depot so they can schedule the driver accordingly.
