Corporate vs Family Retirement Parties

Corporate retirement events, typically organised by an employer, tend to involve larger guest lists and more formal venues. Round tables, good linen, and a proper glassware setup are the norm. A company might hire a hotel function room or conference suite where furniture is provided, or an external venue where everything needs to be hired.

Family retirement parties run a wider range. A garden buffet for 40 people needs different equipment to a formal dinner for 80. The key in either case is to confirm what the venue supplies before placing a hire order.

Buffet Format

\n\n

Buffet receptions need fewer chairs than guest numbers, since guests move around rather than sitting throughout. A good rule is one chair for every two guests, with a 10% buffer. For 80 guests, that is 44 chairs.

\n\n

Folding chairs are a practical choice for informal buffet events. They take up little space when not in use and are easy to move around as guests settle in clusters. For a smarter look, banqueting chairs suit corporate settings without the cost of Chiavari.

For the buffet itself, rectangular trestle tables form the service line. A 6ft table holds two standard chafing dishes with room for serving utensils alongside. For 6 to 8 chafing dishes, you need 3 to 4 trestle tables end-to-end or in a horseshoe arrangement.

Sit-Down Dinner Format

\n\n

Sit-down dinners need one chair per guest plus 10%. Round tables are standard for dinner events; a 5ft table seats 8 and a 6ft table seats 10. For 80 guests at 10 per table, you need 8 round tables. Add one extra for a top table if the format calls for speeches.

For a 100-guest dinner: 110 chairs, 10 x 6ft round tables, 10 tablecloths, 100 napkins, 100 wine glasses, 100 water goblets, and 100 dinner plates if the venue does not supply crockery.

Crockery

\n\n

Many venues supply crockery for sit-down dinners. Confirm this before hiring. If the venue uses an outside caterer or has no catering service, you need to hire plates, bowls, and serving dishes separately.

\n\n

For a three-course sit-down meal, allow a starter plate or bowl, a dinner plate, and a dessert plate per guest. That is 3 pieces per head. For 80 guests, that is 240 pieces minimum, plus spares for breakages (add 5%). Browse the crockery range for available sizes and styles.

Glassware

\n\n

For a buffet reception with wine and soft drinks, allow 2 glasses per guest. For a sit-down dinner with wine service, allow one wine glass per guest plus one water goblet per place setting. Add champagne flutes at 1 per guest if there is a toast.

If the event runs a free bar rather than table wine, increase glassware to 3 per head to account for guests picking up fresh glasses throughout the evening.

Chafing Dishes

\n\n

Chafing dishes are the core catering equipment for retirement buffets. Each full-size chafing dish holds a 1/1 gastronorm tray and keeps food hot for 2 to 4 hours on gel fuel. For a buffet of 5 to 6 dishes serving 80 guests, plan for 6 chafing dishes.

Linen

Linen matters more at sit-down dinners than at buffet receptions, but buffet tables benefit from cloths too. White linen cloths on buffet service tables look cleaner in photographs and hide table legs. Retirement parties are often arranged 4 to 8 weeks in advance. Most hire quantities are available with two to three weeks notice. For events in summer months or on a Friday or Saturday, book earlier, as delivery slots and stock both tighten in peak season.
