Equipment Hire for Secure Sites — Embassies, Military Bases & Prisons

Equipment Hire for Secure Sites

Not every delivery is straightforward. Embassies, military bases, prisons and secure government facilities have access protocols, background check requirements and confidentiality obligations that most hire companies cannot meet. We can.

Expo Hire has supplied furniture, glassware and event equipment to a range of secure and restricted-access sites. Our drivers and delivery staff can be DBS checked and criminal background checked. We sign NDAs on behalf of the business where required. We carry out site surveys before first delivery so nothing is left to chance on the day.

Sites we have worked in

American Embassies — 4th of July Celebrations

US Embassy 4th of July celebrations are significant diplomatic and social events requiring furniture and equipment supplied to a secure diplomatic premises. We have supplied to American embassy events, meeting the access and vetting requirements of the embassy security team.

Naval Bases — Nelson Day Celebrations

Annual Nelson Day events at Royal Navy bases require event furniture and equipment delivered and set up within a secure military environment. We have supplied to naval bases, with drivers cleared to access the site ahead of the event.

Army Bases — Oktoberfest Events

British Army bases hold Oktoberfest events for garrison staff and their families. We supply furniture, glassware and event equipment for these occasions, working within army base access protocols and security requirements.

Prisons and Secure Units

We supply catering and event equipment to prisons and secure units for institutional events and functions. This requires strict adherence to site access procedures, advance approval of all personnel entering the site, and in some cases criminal background checks for every driver. We handle this as standard.

Our vetting and compliance process

When a client requires enhanced security measures, we follow a structured process before the first delivery:

  • Site survey — we visit before the contract begins to understand access points, security procedures, vehicle requirements and any restrictions on equipment types
  • DBS checks — all drivers and staff assigned to a secure site contract are DBS checked
  • Criminal background checks — for sites requiring enhanced clearance, full criminal background checks are completed for all relevant personnel
  • NDA — where confidentiality is required, we sign a non-disclosure agreement on behalf of the business before any site access or briefing takes place

Once cleared, our drivers are approved for that site. Subsequent deliveries move through access procedures efficiently because the groundwork is already done.

Why this matters

Most hire companies cannot supply to an embassy or a military base — not because the equipment is different, but because they have not built the processes to handle the security requirements. We have. If you are organising an event at a restricted or high-security site and need a supplier who can clear the necessary checks, get in touch.

All enquiries handled with discretion. NDAs available on request before any discussion of requirements.
