Product Launch Event Hire: Furniture and Equipment for Drinks Receptions

A product launch event lives or dies on its first impression. This guide covers the furniture, glassware and catering setup needed for launch events of 50 to 150 guests.

A product launch is a one-chance event. The impression it creates in the first 20 minutes, as guests arrive, collect a drink, and look around, sets the tone for everything that follows. The furniture and equipment you hire contributes directly to that first impression.

Poseur tables are the backbone of most launch event setups. They give guests a place to set down drinks, look at materials, and talk to the people around them without committing to a seat. A standing-format launch with 80 to 120 guests needs 16 to 24 poseur tables.

Spacing matters. Poseur tables too close together create congestion; too far apart and guests feel exposed. Not everyone at a launch event wants to stand for two hours. A lounge zone with sofas and low tables provides a relaxed area where clients or press can have longer conversations without competing for space at the poseur tables.

Two to three sofa groupings, each with a two-seater sofa, two armchairs, and a low table, works well for a launch of 100 guests. Position lounge areas away from the main demonstration zone so conversation there does not interfere with the core event.

A well-run drinks reception needs the following:

Display and Demonstration Areas

If the launch involves a physical product on display, the surrounding furniture should support rather than compete with it. Keep display areas clear and use poseur tables for printed materials and order forms rather than cluttering the demonstration zone itself.

If chairs are needed for a presentation segment, folding chairs set out in theatre-style rows allow the space to be reconfigured back to a standing reception once the presentation ends.
