How Many Wine Glasses Do You Need Per Guest?

Wine glass quantities depend on whether you are running a dinner, a drinks reception, or a wedding with a champagne toast. This guide covers the right number for each scenario and whether to wash during the event.

The number of wine glasses you need per guest depends on the type of event, how long the drinks service runs, and whether you are washing glasses during the event or running on a single set. Getting this wrong in either direction causes problems: too few and you are washing frantically mid-service, too many and you are paying for stock that sits in crates.

Sit-Down Dinner

For a sit-down dinner with wine service, the standard approach is two glasses per guest: one for white wine and one for red. Some planners use a single wine glass for both and ask guests to request a fresh one if they switch, which reduces the total number but adds work for the waiting staff.

If the dinner includes a pre-dinner drinks reception with wine, add one extra glass per guest for the reception. That gives three glasses per head in total. With a 10% buffer for breakages, order 3.3 glasses per guest, rounded up to the nearest ten.

Drinks Receptions

For a standalone drinks reception with wine, the standard quantity is two to three glasses per guest for a two-hour event. Guests lose glasses, put them down and pick up a fresh one, or the wine service runs throughout. Two glasses per guest per hour is a workable rule for a busy reception where staff are circulating with bottles. For 100 guests at a two-hour reception, 200 glasses is a working minimum, with 220 as the safer order including the buffer.

Weddings

Weddings typically involve three wine service points: pre-ceremony drinks, wedding breakfast wine service, and evening reception drinks. If wine is served at all three points, plan for four to five glasses per guest across the full day. In practice, most planners wash glasses between the breakfast and the evening reception, which reduces the total hire quantity needed.

If you are not washing between services, order the full day quantity. If you are washing, order enough for the largest single service, add the 10% buffer, and plan the wash turnaround time carefully with the catering team.

Red vs White Glass

For most events, one glass style for both red and white is fine. A standard tulip-shaped wine glass with a 250ml or 300ml bowl works for both. Using separate bowl shapes (a wider balloon for red, a narrower tulip for white) is an option for formal dinners where presentation matters, but it doubles the number of glass styles to manage and increases the risk of confusion during service.

Champagne Toasts

If the event includes a champagne toast, add one flute or coupe glass per guest on top of the wine glass count. These are used once, at a fixed point, and then cleared. Order one per guest with a 5% buffer. There is no need to factor in extras for a toast the way you would for a flowing drinks service.

Glass Washing vs Hiring More

For smaller events with access to a commercial glass washer, running one set through a wash cycle between courses or services is often cheaper than hiring multiple sets. Glass washers typically take four to six minutes per cycle. For larger events, the labour cost and logistics of mid-service washing usually make it simpler to hire enough glasses to last the event without washing.
