There are two main types of coffee machine available to hire for events: filter machines and bean-to-cup machines. They suit different formats, produce different results, and need different levels of attention during service. Here is how to choose between them.
Hiring a coffee machine for an event is straightforward once you know which type suits the format. The two main options are filter coffee machines and bean-to-cup machines. They produce different results, suit different settings, and require different levels of attention during the event.
A commercial filter coffee machine brews a large volume of coffee at once and holds it in an insulated jug or urn. The machine heats water, passes it through a basket of ground coffee, and the brewed coffee drops into the container below.
Filter machines are best for:
A commercial filter machine typically brews a 1.8 to 2 litre batch in six to eight minutes and holds temperature for one to two hours. At roughly 125ml per cup, that is 14-16 cups per batch.
For a conference with 50 delegates having two or three cups each over a full day, a single machine with regular brew cycles will keep up. For 100 or more delegates, hire two machines and run them in rotation so there is always a fresh batch ready.
Filter machines run from a standard 13A plug and require no plumbing. They need a water supply nearby and a flat surface. Power draw is typically 1.5-2kW during brewing.
The Siemens Bean to Cup Coffee Machine grinds fresh beans and produces individual espresso-based drinks: espresso, americano, flat white, cappuccino, latte. Each cup is made to order.
Bean-to-cup machines suit:
The trade-off is speed. A commercial bean-to-cup machine makes one drink at a time in 30-60 seconds. For a seated dinner with 80 guests all wanting coffee after the meal, a single machine will take 40-80 minutes to serve everyone. In that situation, run two machines side by side, or supplement with a filter machine for plain black coffee.
Bean-to-cup machines also need milk if you are offering flat whites and lattes. Keep fresh milk refrigerated separately and plan for regular restocking during service.
These machines run from a standard 13A socket with no plumbing required. The bean hopper holds 250-300g, enough for 30-50 drinks before refilling. Bring extra beans.
| Event type | Recommended |
|---|---|
| Full-day conference (50+ delegates) | Filter machine x2 |
| Awards evening or seated dinner | Bean-to-cup x2 |
| Wedding reception drinks course | Bean-to-cup |
| Exhibition stand | Filter machine |
| Wedding breakfast coffee service | Both, or bean-to-cup x2 |
The hot drinks hire range also includes urns for tea and hot water service. Most events need both coffee and tea provision, so factor urns into your order alongside the machine hire.
Both machine types need a stable power supply. If you are running from a generator, confirm output is clean and stable. Coffee machines with electronics can be sensitive to power spikes.
Allow setup time before guests arrive. Filter machines are simple to start, but bean-to-cup machines need a short calibration run to flush the grinder and bring the brewing head up to temperature. Build in 15 minutes before service begins.
