Track your delivery and collection driver in real time.
Every Expo Hire booking features live GPS tracking for both your delivery and your collection. We give you complete visibility over our transport network across England and Wales.
On the morning of your scheduled date, we send a text message containing your allocated delivery time window. You input your order number and venue postcode on our tracking portal to locate your driver on a live map.
The collection process follows the exact same format. When our transport team departs for your venue, the tracking system activates. Your site crew knows the exact time they need to prepare the equipment at the loading bay. This system applies to all bookings, including our Sunday delivery service.
Event logistics depend on accurate arrival times. Without a tracking system, venue managers ring the depot and hope for an update. With live GPS tracking, your event planner, your venue coordinator, and your catering team view the same real-time data.
This visibility transforms how you manage your venue setup:
We include this tracking service as standard on every order. Our transport rates start from £40 ex VAT based on your distance from our nearest regional depot. We cover all of England and Wales with our dedicated vehicle fleet.
You access the tracking link from any smartphone or tablet. You can share the link with your entire event team. We remove the guesswork from your transport logistics.
On the morning of your delivery, we send a text message with your live time window. You do not spend the day waiting through a vague six hour slot. Our system narrows the arrival window against the route that driver is running that day, so you get a delivery estimate you can use.
The tracking page updates as the vehicle moves. You can watch the route, judge when the crew will reach the venue, and pass that information to the people on site. Venue teams often ask for a direct link so they can see the same map without calling you for updates. You can forward the message to the venue manager, catering lead, or front desk in seconds.
Venue manager: they can clear the loading bay, hold back another supplier for ten minutes, and get a porter ready for the unload when the map shows our driver closing in on site.
Caterer: they can line up kitchen staff around the arrival of ovens, hot cupboards, or service trolleys instead of leaving people waiting in an empty prep area.
Event planner: they can move the setup schedule in real time, push florists back by half an hour, or bring the styling team forward if the vehicle runs ahead of the first estimate.
Wedding couple: they can hand the tracking link to the coordinator or venue contact and focus on the day. They do not need to field calls about where the chairs or glassware have reached.
Sunday deliveries and collections use the same tracking system as weekday jobs. If your wedding lands on a Sunday or your venue clears on a Sunday night, the transport link still shows the live route and the live ETA. We do not switch to a manual update process at weekends.
That matters for venues that host back to back events. A Sunday collection often sits tight between a wedding breakfast and a Monday reset. Tracking helps your team judge when our crew will arrive and when the loading area will free up again.
Yes. You can forward the text message or copy the link into your venue group chat. Anyone with the link can follow the live route, which saves calls between your team, the venue, and our office.
Yes. We send collection tracking as well as delivery tracking. Your team can see when our driver is heading back so the crates are packed, labelled, and waiting in the right pickup point.
The map updates as the route changes, and the time window moves with it. If traffic, a venue delay, or a road closure affects the run, you can see that change on the link. Our office also stays on hand if you need to talk through access or timing.
