Expo Hire allows you to secure peak season dates by paying 25% of your total order upfront. You pay the remaining balance closer to your event date. We restrict this scheme to orders with a total equipment value of £1,000 or more ex VAT.

Securing your delivery slot

When your basket totals £1,000 or more ex VAT, the checkout displays the deposit payment option. You pay 25% of the total cost to confirm the booking. We lock your delivery slot in our transport schedule. We allocate the physical stock to your event. You pay the remaining 75% balance 28 days prior to your delivery date.

Planning for peak season events

Saturday delivery slots between May and September reach full capacity months in advance. December dates follow the exact same pattern. The deposit scheme lets you secure your transport slot the moment you confirm the date. You reserve the inventory without committing your entire event budget months before the event begins.

Managing cash flow remains the biggest challenge for event planners. You need to guarantee the equipment supply, but you might still be waiting for final ticket sales or client payments. Splitting the cost gives you the breathing room to manage your operating capital. You secure the critical infrastructure for your event while keeping cash in your bank account.

Cancellation terms and conditions

Our standard hire agreement outlines the cancellation framework. We retain the non-refundable deposit if you cancel your booking within the restricted timeframe. We display the full terms at checkout. We include the exact cancellation dates in your confirmation email.

Distinct from security holdings

This 25% booking payment secures your reservation. It reduces your final bill by an equal amount. This payment has no connection to security holdings. Expo Hire operates a strict no security deposit policy across all bookings. We hold your reservation payment, we do not hold your money for damages.

Which events need early booking

Summer weddings fill first. Saturday dates from May to September often sell out six to twelve months ahead, especially when the order includes large chair counts, outdoor bars, or full dining packages. Early booking protects the stock and the delivery slot before other weddings take the same weekend.

Christmas parties also move fast. December dates start filling from August once venues release menus and company organisers lock guest numbers. The same pressure hits major sporting weekends. Grand Prix, Wimbledon, and Glastonbury weekends push demand across the dates around the event because brands, hospitality teams, and private hosts all book at the same time.

How the payment works step by step

  1. Add the items you need to the basket.
  2. Enter the delivery and collection dates for the event.
  3. Proceed to checkout and review the hire total.
  4. Select the option marked Pay 25% deposit to reserve.
  5. Pay the deposit by card through the checkout.
  6. Receive the booking confirmation with the balance due date.
  7. Pay the remaining balance 14 days before delivery.

The deposit secures the stock and the route slot. It also gives your team a confirmed order reference while you finish guest numbers, seating plans, or kitchen counts. We deduct that 25% from the final invoice, so you do not pay twice for the same booking.


Frequently asked questions

Can I add items after paying the deposit?

Yes, as long as the extra stock is still available for your dates. Contact us with the order number and the items you want to add. We update the order and adjust the final balance against the revised total.

What if my event is cancelled?

Tell us as soon as the event cancels. We review the booking against the timing of the cancellation and the stock we held aside for you. The team then confirms what credit or charge applies under the booking terms.

Is the deposit refundable?

The 25% payment acts as a booking deposit against a reserved date and reserved stock. Refund terms depend on when you cancel and what we have already committed to the job. If you need the exact position before booking, ask the team to confirm the cancellation terms against your event date.
