Delivery is part of the hire cost, but it is also the part of the process where most surprises happen. Knowing how delivery works before you book means fewer problems on the day. This guide covers coverage, delivery windows, access requirements and what happens at collection.
Expo Hire delivers across England and Wales. Scotland and Northern Ireland are outside the delivery area. For customers based in Scotland, Expo Direct offers the same furniture and equipment to buy outright, with delivery to Scotland included in the purchase price.
Delivery cost is calculated by distance from the depot. Closer venues pay less. The checkout on the Expo Hire website calculates the delivery charge automatically when you enter your venue postcode, so you can see the full cost before confirming your order. There are no charges added after booking.
Standard delivery is scheduled in a 2–4 hour window on your chosen day. The hire company confirms the exact time window 24–48 hours before delivery. This gives you enough notice to arrange for someone to be at the venue to receive the delivery and sign the delivery note.
Early morning windows from 6am or 7am are sometimes available for venue-critical setups where the room needs to be ready before other suppliers arrive. Request this when you book, as early slots fill first.
For nearby venues with smaller orders, same-day delivery is possible in some cases. This is not a standard service and cannot be guaranteed. Call the office directly to check whether same-day availability applies to your order and location. Do not plan a large or complex order around same-day delivery.
Commercial venues, hotels and dedicated event spaces often have specific delivery requirements: a loading bay, a service entrance or a designated delivery slot. Provide the venue's full address including any building name or unit number, the loading bay details, and any time restrictions the venue has set for deliveries.
The hire company needs this information at the time of booking, not on delivery day. A driver arriving at a venue with no access information, or outside an allowed delivery window, will need to return and reschedule, which causes delays for your setup.
Residential deliveries are common for garden parties, birthday parties and other events held at home. Parking restrictions, narrow driveways, steps and gates all affect how the driver can access the property. If there is no kerb-side parking for a van outside your address, let the hire company know at booking so they can plan accordingly.
Narrow entrances, no-lorry zones, stairs without a lift and weight-restricted floors all affect what furniture can be delivered and how. Mention these at booking. The hire company can advise on vehicle size or alternative delivery options. Discovering access problems on delivery day means items may not reach the event space in time for setup.
The collection driver arrives at the agreed time window. Items should be folded, stacked and ready at that point: tablecloths folded, chairs stacked, crockery returned to crates and rinsed. Leaving items scattered across the venue or requiring the driver to sort and pack on-site extends the collection time and may result in an additional charge.
If your event runs later than planned and items will not be ready at the agreed collection time, call the hire company as soon as you know. They may be able to adjust the window or arrange a next-day collection with the venue's agreement.
